Primedispatchify

Privacy

This covers Primedispatchify, the dashboard a carrier signs into and the link a driver taps. The driver section is first, because a driver is the person most of this data is about and the one who never signed anything.

If you are a driver

Your carrier signed up, not you, and that means the record belongs to them. Here is what is in it, in plain words.

We hold your name, your mobile number, the times you tapped, a location grade for those taps, and the photographs you took. We hold a rough location at the moment of a tap when your phone offers one and you allow it.

We do not hold where you were at any other time. There is no background location, no route, no speed and no duty status, because the screen you tapped is a web page opened from a text message and a web page cannot ask for any of that. Declining the location prompt is a supported path: your tap is still recorded, with a lower grade attached to it.

To see what is held about you, ask your carrier, who can export all of it. You can also write to privacy@primedispatchify.com and we will help. Where the law gives you a right to correction or erasure we will honour it, and we will tell your carrier, because the record is theirs and removing part of it changes what they can bill.

Who we are

Primedispatchify provides software that records dock events and produces billing packets for motor carriers. For the data a carrier puts into the product about their loads, their drivers and their customers, the carrier is the controller and we are the processor acting on their instructions. For the account data of the person who signs in, we are the controller.

What we collect

  • Account. Email address, name, the organisation, the role within it, and a photograph if one is uploaded.
  • Company. Legal name, MC and DOT numbers, remit-to address, timezone, invoice numbering, and factoring details if entered.
  • Drivers. Name, mobile number, licence and medical expiry dates if entered, and a photograph if one is uploaded.
  • Loads and stops. Load numbers, lanes, facilities, appointment windows, rates, brokers and their contact addresses.
  • Events. The device time, the server time and the difference between them for every tap, a location grade, and approximate coordinates where the device offered them.
  • Documents. Photographs of bills of lading, proofs of delivery, lumper receipts and rate confirmations, in both the original and a processed version.
  • Billing. Subscription state and the identifiers our payment processor issues. Card numbers are never sent to us or stored by us.
  • Technical. Standard server logs from our hosting platform, which include IP addresses, kept for a short period for reliability and abuse prevention.

There is no advertising network on this product, no third party analytics script, and no cookie beyond the one that keeps a signed in person signed in and the one that binds a driver link to the phone that opened it.

Why we hold it

To run the service a carrier is paying for: recording dock events, producing packets, sending detention notices to the broker named on a rate confirmation, and keeping the account working. We do not use a carrier’s evidence for anything other than that carrier.

We do not sell personal information and we do not share it for cross context behavioural advertising, under any definition used by any US state privacy statute. There is no arrangement under which anybody buys anything about your loads, your drivers or your rates.

Who else touches it

Only the companies that host and deliver the service. Each is listed, with what it touches, on the subprocessors page, and each is under a written agreement. When a detention notice goes out, the broker named on the rate confirmation receives the arrival time and the load details: that is the point of the notice, and the carrier chooses the address.

How long we keep it

  • Loads, events, coordinates and documents: three years.
  • Driver name and mobile number: the life of employment with that carrier, plus a year.
  • Account email address: the life of the account.
  • Server logs: a short operational period set by our hosting platform.

Three years because factoring agreements and carrier record keeping commonly require multi year retention of a proof of delivery. Nothing is removed because a subscription was downgraded or cancelled.

Asking for it, or asking for it to go

Every plan and every billing state can export everything as CSV from inside the product, with no request to anybody. For a copy in another form, or for deletion, write to privacy@primedispatchify.com. We will confirm what a deletion removes before we run it, because a deleted proof of delivery is not one a factoring company will accept afterwards.

Depending on where you live you may have rights to know, to access, to correct, to delete, to a portable copy, and not to be discriminated against for exercising them. We honour those requests at the same speed regardless of where the person making them lives.

Children

This is a commercial product for motor carriers. It is not directed at anyone under 18 and we do not knowingly collect anything from them.

Where the data sits

On infrastructure in the United States. If you are outside the United States, using the product means the data is processed there.

Changes

When this changes materially we will update the date at the top and tell account holders by email before it takes effect.
